Use the organisation’s approved setup process
Identify the user, apps, devices and intended data location. Managed deployments, personal devices, shared computers and existing integrations can need different choices; keep their authority and support requirements clear.
Step 1 of 10
In this guide
Define the user, devices and required workflow
Define the user, devices and required workflow
List the person’s authorised work account, devices and real tasks: editing documents, using Teams, opening shared files, email or an existing business integration. Confirm the organisation and data location before downloading anything. Personal/family access and an organisation’s business entitlement are different.
Ask the responsible owner which apps/services are included and how each device is meant to be managed. One person’s entitlement does not authorise sharing that login with colleagues or installing on any public/shared computer. Shared-device activation and business security requirements need the actual owner’s plan.
Keep the intended outcome small and testable, such as opening a harmless document in the correct app and account. If the real problem is a missing entitlement or renewal, use the licence-management guide. Do not buy a plan, create a second identity or move work into a personal account to make an install option appear.
Confirm the actual user, organisation, devices and required tasks. Resolve entitlement and management requirements before installation; do not share identities or substitute a personal account.
Next: Check support and existing software dependenciesCheck support and existing software dependencies
Check support and existing software dependencies
Record the operating system, installed Office edition/architecture, relevant business apps/add-ins and any special file templates or connectors. Check the current Microsoft and vendor support requirements for those exact versions. A device running old unsupported software needs a supported plan, not a generic forced upgrade.
Microsoft’s architecture guidance explains why compiled add-ins and other dependencies can affect the choice. Do not switch between 32-bit and 64-bit versions, replace classic/new Outlook or remove an older suite without checking the specific integration and preservation needs.
Ask the existing tool’s genuine provider whether the planned Office/app/operating-system combination is supported, including any Mac/web/mobile limitations. A familiar feature name does not establish compatibility. If requirements or the recovery path are unclear, preserve the working setup and use a small authorised pilot before broader rollout.
Check the exact supported combination and important integrations. Keep a working setup intact until the owner understands compatibility, preservation and an appropriate pilot.
Next: Preserve work and agree the installation methodPreserve work and agree the installation method
Preserve work and agree the installation method
Save open work and identify local-only records, Outlook data, templates, add-in settings and any files not yet synchronised. Agree an appropriate recoverable backup and a preservation/recovery plan before replacing software. Installing an app is not proof that old mail, shared files or integrations have moved.
Use the organisation’s approved deployment route, such as its managed software portal or authorised Microsoft self-install path. A managed device may intentionally hide installation/update controls. Ask its owner rather than remove management or use a personal administrator account.
For a recent migration, confirm which data/source was accepted and what remains pending before withdrawing the old environment. Keep a dated issue list with owners. Do not delete mail profiles, clear credentials, uninstall working dependencies or sign every device out merely to start with a “clean” setup.
Preserve local/unsynchronised work and agree the authorised installation method. App setup, data migration and withdrawal of an old environment are separate decisions.

Install and activate from the genuine source
Install and activate from the genuine source
For an authorised self-install, open the known Microsoft365 apps portal with the account holding the required entitlement. Follow Microsoft’s current Windows/Mac installation guidance or the organisation’s managed process. Check the expected publisher/source and chosen language/architecture; avoid ad-based downloads or activation helpers.
Open the intended app and complete genuine activation with your own authorised account. If an agreement or device-management prompt appears, read what it changes and involve the responsible owner where needed. Do not approve unfamiliar organisation enrolment or grant a caller remote/admin access because a setup page asks.
Repeat the appropriate supported process for each authorised device and verify the account/app there. Web/mobile/desktop features and product rights differ; one successful install does not establish the rest. Missing installation rights, a wrong preinstalled edition or activation errors need the exact account/product reviewed rather than licence-file deletion or security bypass.
Confirm the actual app and account on each intended device through the authorised process. An installed shortcut is not completed activation or a guarantee of entitlement, sync or integration.
Set up Teams for the right people and purpose
Set up Teams for the right people and purpose
Open the approved Teams work/school app or supported web version and confirm the intended organisation. Ask the team owner which existing team/channel to use before creating duplicates. An unrelated personal Teams session is not the same workspace.
For an approved new workspace, agree purpose, owners, membership, privacy and information handling first. Microsoft’s team-creation guidance describes current combined/separate layouts and organisation restrictions. Creating a team also creates associated resources; it is not a harmless folder name. Keep content limited to the intended audience and review channel type separately.
Have the responsible owner add only approved members/guests and explain where conversations and files belong. Practise navigation or a harmless authorised test in the intended location. Do not send real invitations, publish private files, enable anonymous access or record meetings just to prove setup works. Calling, guest access and app integrations can have additional policy/entitlement requirements.
Confirm the correct organisation/workspace and approved audience. Team creation and membership affect shared resources; keep guest, channel and meeting decisions explicit rather than treat every chat as private.
Review integrations and requested access
Review integrations and requested access
For the existing accounting, document, customer-management or other business tool, identify the genuine vendor, exact connector/add-in and supported app versions. Agree the intended data flow and what may be read, changed or sent. Use harmless samples and a small authorised pilot; do not connect the whole customer dataset as an installation test.
Microsoft’s add-in management guidance distinguishes centrally managed deployment. Follow the organisation’s existing app process. A store listing or verified publisher is useful context, not proof the requested access is necessary or every output correct.
User/admin consent can allow access to mail, files or other protected resources. Have the appropriate owner assess publisher, permissions, data handling and scope before approval; some requests need administrator review. Do not grant broad tenant access, remove consent policy or use somebody else’s admin login to make a connector run. If requirements are unclear, leave the connection unapproved for review.
Confirm the supported integration, data flow and justified authority before permission is granted. A working connector or trusted-looking publisher does not validate every access request or output.
Next: Agree updates and support responsibilitiesAgree updates and support responsibilities
Agree updates and support responsibilities
Record the actual installed versions, approved update method/channel and who handles failures or new requirements. Managed organisations can stage updates to test compatibility; do not join an Insider/beta channel or override a managed update policy simply to get a newer feature.
For permitted Windows self-managed installs, Microsoft’s current update guidance uses the app’s File → Account → Update Options where available. Save work and allow the supported process to finish. If controls are missing/managed or installation fails, give the owner the exact version/message rather than change registry/update sources or turn protection off.
Mac and store-installed apps can use a different supported update path; use Microsoft’s Mac update guidance for the actual installation source. OS, Office, Teams and third-party connectors may update separately. Agree a review/test routine for important workflows and clarify the actual support arrangement instead of assuming 24-hour monitoring or automatic problem resolution is included.
Assign ownership of updates, failures and compatibility checks through the correct supported method. Keep managed channels intact and distinguish separate apps, operating systems and integration updates.
Next: Practise the real workflow and record the handoverPractise the real workflow and record the handover
Practise the real workflow and record the handover
Choose a non-sensitive task reflecting the person’s work: open/edit/save a permitted practice document, find the correct team/channel, or run a harmless connector sample. Check the exact storage/account and whether another authorised participant gets only the intended access. Use an approved test audience; do not broaden sharing to avoid an access error.
After a migration, compare the agreed acceptance list with the new workflow. Distinguish data still at the old source, local-only records, app installation, file permissions and a missing integration. Keep source/preservation arrangements until the responsible owner accepts the affected data and tasks. One opened mailbox or document is not proof the entire migration succeeded.
Give each user a short practical handover: sign-in route, where work lives, approved collaboration method, update/support owner and how to report a specific issue. Use our Office basics guide for practice exercises. Agree follow-up for unresolved tasks rather than invent a proficiency certificate or promise every future update will work.
Use harmless representative tasks and record the real storage, audience and support route. Keep migration gaps explicit and retain required sources until the actual owner accepts the scope.
Next: Verify the agreed setup without broadening accessVerify the agreed setup without broadening access
Verify the agreed setup without broadening access
Confirm the intended user/account, supported app/version/activation and required device policy on the agreed devices. Verify the harmless file task, relevant Teams audience and justified integration result. Check saved/sync status and any error left outstanding; a running app alone is not a complete acceptance check.
Confirm who owns updates, app/connector permissions, recovery and follow-up. Retain a minimal private handover with changes and limits. Do not uninstall the old environment, remove the only recovery route, send real customer data or grant wider access as a verification exercise.
Stop unrelated setup changes once the agreed tasks work under the required safeguards. If a function depends on disabled protection, personal-account substitution or unexplained broad permissions, return to the owner/provider. Record remaining issues separately from completed checks; installation does not establish full migration, licensing compliance or universal future compatibility.

Confirm the actual agreed device/workflow/account/audience scope under required protection. Keep incomplete tasks explicit and stop further changes once the limited setup is verified.
Back to the symptom checkerGet help with a specific setup or integration blocker
Get help with a specific setup or integration blocker
For missing install rights, activation conflicts, unsupported dependencies, managed restrictions or unclear connector access, use the responsible IT owner and genuine app/vendor support. Supply the actual app/device/version, intended task, error and preservation needs privately. Do not post credentials, full customer exports, enrolment QR codes or app secrets.
Our Microsoft 365 support can discuss the requirement and a scoped setup/support session. Agree authority, access, data handling and changes before work. Training and post-migration follow-up should match the real unresolved tasks rather than promise a service outcome that was not assessed.
If sign-in itself is the blocker, use the work-account sign-in guide. Data migration, complex integration development and security-policy changes may need their own authorised plan; reinstalling every app does not replace that assessment.
Use the actual owner/vendor and a specific preserved example for unresolved setup work. Keep broader migration, integration development and policy changes separately scoped.
